Back Office Operations Coordinator (Warehouse & Inventory)

We are seeking a highly organized, detail-driven Back Office Operations Coordinator to manage inventory, warehouse systems, and order logistics. This role is essential to ensuring our retail and design operations run seamlessly from receiving to final delivery.

 

About the Role

This is a hands-on position that combines physical warehouse work with digital inventory and order management. You will take ownership of back-of-house systems, ensuring products are received, tracked, stored, and delivered with accuracy and care.

You thrive on organization, efficiency, and process — and take pride in maintaining systems that support a beautiful, well-run retail environment.

 

Key Responsibilities

Inventory Management

Receive, unpack, and inspect incoming shipments

Accurately enter and track inventory in Shopify and internal systems

Maintain real-time inventory accuracy across retail and warehouse

Conduct regular inventory counts and reconciliations


Warehouse Organization

Maintain a clean, highly organized stockroom and warehouse

Develop and uphold systems for storage, labeling, and product flow

Optimize space and efficiency for both retail and design inventory


Shipping, Fulfillment & Logistics

Prepare and pack retail and design client orders

Coordinate customer deliveries, pickups, and transfers

Schedule and organize outgoing shipments

Ensure all orders are complete, accurate, and presented to brand standards


Customer Order Coordination

Organize and communicate timelines for customer pick-ups and deliveries

Prepare orders for in-store pickup and coordinate with the retail team

Support a seamless customer experience from purchase to fulfillment


Claims & Issue Resolution

Process and manage freight and damage claims

Communicate with vendors and shipping partners to resolve issues

Document discrepancies and ensure accurate follow-up


Operations Support

Assist retail team with stock replenishment

Support seasonal merchandising transitions

Work closely with design and retail teams to track product movement


Who You Are

Highly organized with strong attention to detail (Type A mindset)

Self-directed and comfortable working independently

Physically capable of lifting and moving heavy boxes and furniture

Systems-oriented and proactive in improving processes

Reliable, accountable, and consistent

Calm under pressure and able to manage multiple priorities

 

Technical Skills

Proficient with Mac computers and Apple-based systems

Experience with Shopify or inventory management systems is an asset

Comfortable learning new software and processes quickly

 

Schedule & Availability

Full-time, on-site position in Creemore, Ontario

Availability to work some Saturdays as needed (occasional)
